The Integration of Templafy and Gemini by oXya: Building Secure Generative AI

In this respect, oXya developed a partnership in 2022 with Templafy, a global software company with six offices located around the world. Among other things, Templafy provides tools that enable professionals to create accurate, compliant and on-brand documents and emails with efficiency and ease. 

This solution has therefore been made available to our end-users in Canada in the form of add-ins to the Microsoft 365 product suite, making it easy to access and intuitive to use.

Improving Customer Service 

Templafy is an AI-powered document generation platform. It provides centralized access to approved content and templates within the company throughout document applications. Consequently, the information is available to our consultants and remains up to date. 

This investment has been beneficial, as it facilitates the work of our consultants, particularly on engagements such as Follow-the-Sun. This enables us, among other things, to be more efficient on the ground, by quickly building up compliant deliverables for our clients, while remaining in line with our brand identity. 

Gemini, the Solution Behind Our AI Assistant on Templafy 

Gemini is your direct access to artificial intelligence (AI) on Google. As with Azure OpenAI, Gemini helps you with writing, planning and learning. In addition, generative AI helps you create more elaborate, diverse and comprehensive content. 

In the beginning of 2024, oXya Canada completed a pilot project to access Templafy’s AI Assistant solution. 

We first used the Universal AI Assistant, based on Azure OpenAI (“Templafy Hosted”). Then, we collaborated with Templafy to move to the Custom AI Assistant that is capable of connecting to an external API. This enabled us to link Templafy’s AI Assistant to our personalized generative AI solution and especially within its own tenant on Google Cloud. 

Hence, oXya uses Gemini, Google’s most performing and versatile model, designed to be multimodal and available in several sizes.

Defining a Secure RAG Flow on Google Cloud 

The integration of generative AI within oXya offers considerable advantages, mainly thanks to the RAG (Retrieval Augmented Generation) approach. This technique enables AI to access a vast corpus of internal knowledge to contextualize its responses. 

As a result, the AI doesn’t just generate its output from its standard knowledge base. It relies on precise, up-to-date information deriving from different departments within the company, vectorized and stored in a secure manner. There lies the richness of such a flow, guaranteeing the relevance and reliability of the content, and also its data privacy. 

Thanks to the Templafy AI Assistant’s integration with RAG, oXya’s teams benefit from centralized access to up-to-date information, enabling them to act quickly and efficiently. AI becomes a real assistant, capable of providing precise, contextualized answers based on the company’s specific knowledge. 

Generative AI is an asset for speeding up processes and improving productivity. However, we remain vigilant about the risk of errors (hallucinations) and the sharing of sensitive data. To raise awareness among our end-users, we have set up training courses on the use of AI in the workplace and its risks. We have also drawn up a charter of best practices to be respected. Every generated information must be verified. AI is an accelerator, not an absolute truth. 

Anonymizing Sensitive Data 

As part of our implementation on Google Cloud, we used the Cloud DLP (Data Loss Protection) tool. This prevents any leakage of sensitive data potentially included in the prompts and sent to Gemini. 

In fact, Cloud DLP identifies and classifies data coming from users or vectorized objects to carry out RAG. Examples include Personally Identifiable Information (PII), sensitive client context data and financial data. 

Once the data has been identified and classified by this Google service, Cloud DLP offers the possibility to de-identify this data thanks to techniques such as masking or tokenization. LLM responses can also be filtered in real time to suppress or mask any sensitive data that may be generated. 

Therefore, our goal was to have a complete solution, with reinforced data security and real-time protection. 

AI Practice at oXya Canada 

oXya’s expertise and skills on Google Cloud naturally guided the integration of the Gemini model into Templafy. We continue to invest in our Google Cloud Premier Partner status, as well as in training our team on its technologies. 

Another example of the use of Gemini is the Flashcard’it project. 

While generative AI is useful for creating content and presentations, for example, it cannot be considered as a substitute for the expertise of a skilled user.
